Annual client letter

Send a personalized letter to a client reflecting on accomplishments and major events of the past year.

I want to send my client a personalized year-end letter reflecting on what we accomplished together. This workflow pulls details from the past year to create a meaningful, personal recap.

Follow these steps:

1. Pull the client's full contact record from my CRM including their name, how long they've been a client, household members, and any personal details.

2. Check my calendar for all meetings I had with this client over the past 12 months. Count the total number of meetings and identify the types of meetings (planning sessions, reviews, check-ins, etc.).

3. Review my CRM, email, and meeting notes from the past 12 months to identify:
   - Key milestones reached or goals accomplished
   - Life events that occurred (retirement, new grandchild, home purchase, health changes, job changes, etc.)
   - Portfolio changes or investment decisions made
   - Major topics discussed or planning work completed
   - Financial planning updates implemented (estate plan updates, insurance changes, beneficiary updates, etc.)
   - Challenges addressed or problems solved together

4. Check for any upcoming goals, priorities, or planning items for the coming year that were mentioned in recent conversations.

5. Draft a personalized year-end letter and save as a PDF. Follow these rules:
   - Keep the tone warm, genuine, and personal - not templated or generic.
   - Open with gratitude for their continued trust and partnership.
   - Recap the year with specific details about what you accomplished together, milestones reached, and life events acknowledged.
   - Reference actual meetings, decisions made, and planning work completed.
   - Acknowledge any challenges they faced and how you worked through them together.
   - Look ahead to the coming year with any known goals or priorities.
   - Close with a personal, heartfelt message.
   - Avoid overly formal or stiff language - write like you're talking to them.
   - Use the following example for inspiration:

Dear [First Name] [and Spouse Name if applicable],

As we close out another year, I wanted to take a moment to reflect on everything we've accomplished together in [Year].

[Recap of year - e.g., "We met [X] times this year, including your quarterly reviews and that planning session in [Month] where we updated your estate documents. It was wonderful to celebrate [life event - retirement/new grandchild/etc.] with you, and I'm glad we were able to [specific planning work - adjust your portfolio/increase your insurance coverage/plan for your daughter's wedding/etc.] in response."]

[Reference specific moments - e.g., "I remember our conversation in [Month] when you were concerned about [topic], and I'm pleased we were able to address that by [solution]. You also made the important decision to [major decision made], which positions you well for [outcome]."]

[Acknowledge challenges if applicable - e.g., "This year had its challenges with [challenge], but I'm proud of how we navigated that together."]

[Look ahead - e.g., "Looking ahead to [Next Year], I know you're focused on [upcoming goal/priority]. I'm excited to continue working with you on that."]

Thank you for trusting me with your financial life and for allowing me to be part of your journey. [Personal closing - e.g., "I value our relationship greatly" or "It's a privilege to work with you and your family"].

Here's to a wonderful [Next Year] ahead.

Warmest regards,
