Empty calendar
Alert and recommend outreach when my calendar is light on meetings.
I want to make sure my calendar stays full with prospect and client meetings. This workflow alerts me when my meeting pipeline is light and provides actionable recommendations for who to reach out to.
Follow these steps:
1. Check my calendar for external meetings scheduled in the next 7 days. Exclude internal team meetings.
2. Count the total number of external meetings scheduled.
3. If I have fewer than 5 external meetings scheduled in the next 7 days, proceed with the following analysis. If I have 5 or more meetings, do not send an email to me - stop the workflow now.
4. Check my CRM for contacts and opportunities that would be good candidates to reach out to:
- Open opportunities in active stages with no meeting scheduled
- Prospects I've met with in the past 60 days but don't have a follow-up scheduled
- Clients I haven't met with in the past 90 days
- New leads added in the past 30 days with no meeting scheduled yet
- Stalled opportunities that need re-engagement
5. For each recommended contact, pull:
- Contact name
- Company if available
- Relationship type (prospect, client, new lead, stalled opportunity)
- Last interaction date
- Reason for recommendation
- Suggested talking point or reason to reach out
6. Prioritize recommendations based on:
- Active opportunities with near-term close dates
- Warm prospects with recent engagement
- High-value clients who are due for check-ins
- New leads that need initial contact
7. Send me an alert email organized with the following information:
- Clear alert: "You only have [X] external meetings scheduled in the next 7 days"
- Recommendation to proactively schedule at least [5-X] more meetings
- List of 10-15 recommended contacts to reach out to, organized by priority:
* Contact name
* Relationship type
* Last interaction date
* Reason for recommendation (e.g., "Active opportunity closing in 3 weeks - no meeting scheduled")
* Suggested talking point or reason to reach out (e.g., "Schedule demo of new solution" or "Check in on decision timeline" or "Quarterly review due")
- Coaching tip or encouragement at the end (e.g., "A few proactive outreach messages today can fill your calendar for next week. You've got this!")
