Personal event follow-up
Automatically draft follow-up emails after a client mentions personal events or accomplishments.
I want to identify opportunities to follow up with contacts after personal events or accomplishments to strengthen relationships. This workflow finds these moments from meeting transcripts or notes and schedules follow-ups automatically.
Follow these steps:
1. Identify any mentions of upcoming or recent personal events or accomplishments:
- Vacations or trips
- Personal milestones (marathon, graduation, certification, etc.)
- Family events (child's graduation, college decision, wedding, etc.)
- Home projects or renovations
- Personal goals or challenges they're working on
2. For each personal event identified, pull:
- Contact name
- Type of event or accomplishment
- Timing mentioned (when it's happening or happened)
- Context from the conversation
3. Determine the appropriate follow-up timing based on event type:
- Vacation: 1-2 weeks after their return date
- Upcoming milestone (marathon, exam, presentation): 2-3 days after the event date
- Family event: 1 week after the event
- Ongoing project: 3-4 weeks after they mentioned it
4. For each follow-up opportunity, create a future Scheduled Task for the appropriate date with these details:
- Task name: "Follow up with [Name] about [event]"
- Due date: [Calculated based on timing above]
- Task instructions: When this task is due, draft a personalized follow-up email in my draft folder. Keep the tone warm, genuine, and personal. Reference the specific event or accomplishment they mentioned. Show genuine interest in how it went. Ask a thoughtful question about their experience. Keep it brief and focused on them, not business. Use the following example for inspiration:

5. Add a note to the contact's CRM record documenting the personal event mentioned and the follow-up task created.
