Referral handoff
Facilitate a warm introduction and smooth connection when referring a client to another professional.
When a client needs help from another professional (attorney, CPA, insurance specialist, etc.), I want to make a warm introduction and ensure they get connected smoothly. This workflow helps me facilitate referrals professionally.
Follow these steps:
1. Identify the type of professional the client needs (estate planning attorney, tax CPA, insurance specialist, mortgage broker, etc.) and the specific reason for the referral.
2. Pull the client's contact information from my CRM and identify the appropriate professional from my network to refer them to.
3. Draft an introduction email in my draft folder connecting the client and the professional. Follow these rules:
- Address the email to both the client and the professional.
- Keep the tone warm and professional.
- Clearly state why you're making the introduction.
- Provide context about the client's situation and needs (without oversharing confidential details).
- Explain why you're recommending this specific professional.
- Set expectations about next steps.
- Make it easy for both parties to connect.
- Use the following example for inspiration:
<Example>
Hi [Client Name] and [Professional Name],
I wanted to connect the two of you. [Client Name], this is [Professional Name], [their title/credentials] at [Company]. [Professional Name], this is [Client Name], [brief context - "a client of mine who needs help with..."].
[Client Name], you mentioned [specific need - estate planning / tax strategy / insurance review / etc.], and [Professional Name] is excellent in this area. [Brief explanation of why you're recommending them - "She specializes in estate planning for families with young children" or "He has deep expertise in tax planning for business owners" or "They've helped several of my clients with similar situations"].
[Professional Name], [Client Name] is looking for help with [specific situation - "updating their will and trust documents" or "planning for the sale of their business" or "finding comprehensive life insurance coverage"]. [Any relevant context that would be helpful - "They have two young children and just bought a new home" or "The business sale is expected to close in Q3"].
I'll let you both take it from here. [Client Name], [Professional Name] will reach out to schedule an initial conversation. [Professional Name], thank you for taking care of [Client Name].
Best regards,
</Example>
4. Add a note to the client's CRM record documenting:

- Professional name and type
- Reason for referral
- Date of introduction
