Builder templates

Use Quin's built-in editor to build templates with placeholders or merge tags. Output as PDF, Word, or email — no file upload needed.

Builder templates let you create a document template directly inside Quin using a rich text editor. You design the layout and add placeholders where Quin should insert content, then Quin generates the completed document whenever you request it.

How to set it up

  1. Go to Settings > Templates
  2. Click Add template
  3. Select Start from scratch and click Next
  4. Enter a descriptive Title that helps Quin understand what the template is for (e.g., "Client check-in summary" or "Follow-up email")
  5. In the Template editor, write your template content using one of two approaches:
    • Merge tags — Use {$Field_Name} placeholders like {$First_Name} or {$Meeting_Notes}. Quin replaces these with exact values from your data
    • Example placeholders — Use descriptive labels like [Client Name] or [Key takeaways]. Quin reads the template structure and generates the completed content using AI
  6. Set your Default output format — choose PDF, Word, or Email
  7. (Optional) Add Template guidelines to give Quin specific instructions for populating the template (e.g., "Always search the CRM for personalized details" or "Only use for active clients")
  8. Click Save

Template guidelines are instructions that tell Quin how to use this template, like "Always reference the client's last meeting" or "Only use for new clients in onboarding."

What to expect

After saving, your template appears in My templates. When you ask Quin to generate content that matches this template, Quin uses your layout as the foundation. If you used merge tags, Quin replaces them with the exact corresponding values. If you used example placeholders, Quin generates the content based on the structure and context. The completed document is returned in your chosen output format — PDF, Word, or email draft.

Troubleshooting

Quin isn't generating the template in the right format

  • Open the template and confirm the Default output format is set to PDF, Word, or Email as intended
  • If you want an email draft, make sure Email is selected — PDF and Word outputs won't appear in your drafts folder

The template content isn't accurate or relevant

  • Add more specific Template guidelines to tell Quin what data to pull and how to use it
  • Make sure your template title clearly reflects its purpose
  • If using example placeholders, try being more descriptive in the placeholder labels

Quin isn't applying the template when I ask

  • Reference the template by name in your request: "Generate a client check-in using my Client Check-in template"
  • Confirm the template is saved under My templates
