Meeting assistant overview
Quin joins meetings to capture notes, coordinates scheduling, and sends reminders to attendees. Learn about all the meeting assistant features and how they work together.
Before you begin
Connect your calendar in Account Settings → Integrations. Meeting assistant requires calendar access to join meetings automatically, check your availability for scheduling, and send reminders for upcoming meetings.
Meeting assistant includes three features that work together to handle meeting logistics and follow-up work.
Notetaker
Quin joins your video calls, captures the conversation, and creates CRM updates, tasks, and follow-up emails based on what was discussed. You stay focused on the conversation while Quin handles the administrative work that typically follows every meeting.
After the meeting ends, you'll receive a recap with action items, CRM updates, and drafted communications ready for your review and approval.
Scheduler
Quin creates shareable booking links that let people schedule time directly on your calendar. Instead of the usual back-and-forth coordination, people see your available times and book meetings that work for both of you.
When you email someone Quin already knows, it automatically creates a personalized scheduling link with their name, making it easy for them to find a time.
Reminders
Quin sends automatic email and SMS reminders to external attendees before scheduled meetings. Reminders include meeting details, links, and any preparation instructions you specify.
Reminders go to all external meetings on your calendar, not just meetings scheduled through Quin's Scheduler, helping ensure everyone shows up prepared and on time.
How to set up meeting assistant
- Go to Account Settings → Meeting Assistant
- Turn on Notetaker, Scheduler, or Reminders (or all three)
- Configure each feature's settings based on your needs
Each feature has its own settings page where you can customize how it works for your specific workflow.
What to expect
Once you've enabled meeting assistant features, Quin works automatically based on your settings. Notetaker joins qualifying meetings, Scheduler keeps your booking links current with your availability, and Reminders notify attendees at the timing you specified.
You'll receive notifications when Quin completes work that needs your review, like meeting recaps or CRM updates. Nothing goes to clients or finalizes in your systems without your approval.
Troubleshooting
My calendar isn't connecting
- Go to Account Settings → Integrations
- Try disconnecting and reconnecting your calendar
- Make sure you've granted Quin permission to view calendar events
- Contact support if issues persist
Meeting assistant features aren't working
- Verify your calendar is connected in Account Settings → Integrations
- Check that the specific feature (Notetaker, Scheduler, or Reminders) is turned on
- Confirm your settings match what you're trying to accomplish
- Review the individual feature pages for specific troubleshooting steps
