Auto follow-ups
Quin tracks your sent emails and drafts follow-up reminders when someone hasn't replied. Keep conversations moving without manual tracking.
Quin tracks your sent emails and drafts timely follow-ups to keep conversations moving.
Auto Follow-ups monitors messages you've sent to external contacts and creates follow-up draft emails when you haven't received a response. Follow-ups appear in your Drafts folder with personalized reminders that reference the original conversation.
How to set it up
- Turn on Auto Follow-ups in Account Settings → Email Assistant
- Add auto follow-up guidelines to customize timing and tone (optional)
- Guidelines let you adjust when follow-ups are created and what they say, like "Send after 5 days instead of 7" or "Keep it short and polite"
What to expect
Quin monitors your sent emails to external contacts and tracks responses. When 7 days pass without a reply, Quin drafts a follow-up message that references the original conversation and politely prompts for a response.
The follow-up draft appears in your email Drafts folder for you to review, edit if needed, and send when ready. Nothing goes out without your approval.
Important to know
Follow-ups are only for external contacts
Quin never creates follow-ups for internal team members or colleagues.
Mass emails are excluded
Quin will create follow-ups for the first 10 people who receive a message with the same subject line. After that, Quin stops creating follow-ups to avoid treating it as a mass email and using unnecessary credits.
Default timing is 7 days
You can adjust this through guidelines based on recipient type or urgency.
Troubleshooting
Follow-up drafts aren't being created
- Verify Auto Follow-ups is turned on in Email Assistant settings
- Check that 7 days have passed since you sent the original email
- Confirm the recipient is an external contact
- Make sure the original email was sent (not just saved as a draft)
- Verify the email wasn't sent to more than 10 people with the same subject line
Follow-ups are being created too soon or too late
- Add guidelines to specify timing, like "Wait 5 days before following up"
- Review any existing guidelines that might override the 7-day default
Too many follow-up drafts are being created
- Add guidelines that specify when not to create follow-ups, like "Don't follow up on introduction emails"
- Review your Drafts folder regularly and delete follow-ups you don't need
- Adjust timing in guidelines to reduce frequency
