Troubleshooting workflows

Troubleshoot common Quin workflow issues including automations not running, missed schedules, and workflow errors. Find solutions to get your workflows working properly.

Workflows let you set up automated or on-demand tasks that Quin runs on your behalf, like sending weekly summaries or following up with contacts. You can find your workflows at Settings > Workflows.

Most workflows require integrations to be connected and authenticated. Make sure your integrations are active at Settings > Integrations before troubleshooting other issues.

If a workflow isn't running as expected, this page covers the most common issues and how to resolve them.

Troubleshooting

My automated workflow didn't run on schedule

  • Check that the Automatically run this workflow toggle is turned on inside the workflow
  • Verify the Schedule date and time are set correctly for your timezone
  • Make sure the Frequency matches what you expect (Daily, Weekly, Monthly, or Yearly)
  • Confirm your timezone is correct in Account > My profile

My workflow ran but didn't produce the expected results

  • Open the workflow and review your Instructions field to make sure the steps are clear and specific
  • Try running the workflow manually by asking Quin in chat to test it before relying on automation
  • Check that any integrations the workflow depends on are still connected in Settings > Integrations

I can't find my workflow

  • Go to Settings > Workflows and look under My workflows
  • Core workflows like Notetaker, Scheduler, and Meeting reminders appear under Core workflows and are managed separately from custom workflows

My workflow stopped running after it was working before

  • Check that the Automatically run this workflow toggle hasn't been turned off
  • Verify that connected integrations haven't been disconnected or expired
  • If the workflow references specific contacts or accounts, confirm those records still exist in your CRM

I'm not sure what to write in the Instructions field

  • Include a clear purpose, the outcome you want, and the specific steps Quin should follow
  • Click See examples below the Instructions field for sample workflows
  • Use natural language like "Send me a summary of all meetings this week" or "Remind me to follow up with any client who hasn't responded in 3 days"
