Quin drafts responses to incoming emails in your voice and saves them in your Drafts folder for review.
Auto Replies monitors your inbox for incoming messages and creates draft responses based on the conversation context and your communication style. You review each draft before sending, maintaining control while eliminating the blank page problem.
How to set it up
- Turn on Auto Replies in Account Settings → Email Assistant
- Under Which email accounts to use, select which email account(s) Quin should monitor
- Under Automatically draft replies to emails from, choose:
- Anyone I've emailed in the past - Quin drafts replies to anyone in your email history
- All contacts in the CRM - Quin only drafts replies to contacts in your connected CRM
- Only contacts assigned to me - Quin drafts replies only for contacts you manage
- Off - only respond to emails tagged with "Quin - Draft a reply" - You manually tag which emails need replies
- Add auto reply guidelines to customize how Quin drafts responses (optional)
- Guidelines let you set tone, length, or specific instructions like "Keep responses brief" or "Always thank them for their time"
What to expect
After you turn on Auto Replies, Quin monitors your inbox for incoming messages from the contacts you specified. When a qualifying email arrives, Quin analyzes the message content, pulls relevant context from your CRM, and drafts a response in your communication style.
The draft appears in your email Drafts folder within a few minutes. You can review it, make any edits, and send when you're ready. Nothing goes out without your approval.
Troubleshooting
Drafts aren't being created
- Verify Auto Replies is turned on in Email Assistant settings
- Check that your email account is selected under Which email accounts to use
- Confirm the sender matches your Automatically draft replies to emails from setting
- Make sure the email requires a response (Quin doesn't draft replies to automated messages or newsletters)
Drafts are being created for the wrong emails
- Review your Automatically draft replies to emails from setting
- Consider using a more restrictive setting like Only contacts assigned to me
- Use the tagged email option if you want complete control over which emails trigger drafts
Draft quality doesn't match my style
- Add auto reply guidelines with specific instructions about tone and approach
- Quin learns from your sent emails, so the more you send, the better it matches your voice
- Edit a few drafts and send them—this helps Quin refine its understanding of your style
Too many drafts are being created
- Switch to a more restrictive setting under Automatically draft replies to emails from
- Use the tagged email option to manually control which messages get replies
- Add guidelines that specify when not to draft replies
