Build custom workflows that run on a schedule or when triggered by Quin. Automate meeting prep, follow-ups, reminders, reports, and more with step-by-step instructions Quin follows automatically.

My workflows are custom automations you create to tell Quin what to do and when to do it. You write the instructions, choose whether the workflow runs on a recurring schedule or is triggered automatically by Quin, and decide whether to keep it private or share it with your team. You can also browse the Discover tab to find pre-built workflow templates and add them with one click.

How to create a workflow

  1. Go to Settings > Workflows
  2. Click Add workflow
  3. Enter a Title for the workflow (e.g., "Weekly agenda" or "Birthday emails")
  4. Toggle Automatically run this workflow on if you want it to run without being asked
  5. Choose when the workflow should run:
    • Recurring schedule - Set a specific date, time, and frequency (daily, weekly, monthly, or yearly)
    • Triggered by Quin - Runs automatically when specific conditions are met during meetings or other activity
  6. Add Instructions that tell Quin exactly what to do, including the purpose, expected outcome, and steps to follow
  7. Select who can use the workflow:
    • Just me - Only you can use this workflow
    • All team members - Anyone on your team can use this workflow
  8. Click Save

You can also add workflows from the Discover tab. Browse popular templates, click the + button on any template, and customize the instructions for your needs.

What to expect

Your workflow runs automatically according to its schedule or trigger. Quin follows the instructions and sends you the results via chat, email, or your CRM depending on what you requested. Recurring workflows continue on their schedule until you turn them off or delete them. Workflows shared with your team appear under Shared with me on each team member's Workflows page.

Managing workflows

Click any workflow from the Workflows page to edit its title, instructions, schedule, or trigger conditions. Toggle Automatically run this workflow off to pause a workflow without deleting it, or click the delete icon to remove it completely. You can manually run any workflow at any time by asking Quin to run it by name.

Workflow examples

Birthday emails - Search your CRM each week for clients with upcoming birthdays and draft personalized emails to each one

Meeting agenda - Send meeting agendas to attendees 24 hours before each scheduled meeting

Alert on Golf Mention - Notify you whenever a client mentions golf or related topics during a meeting so you can follow up with a personal touchpoint

Weekly agenda - Send a summary of your upcoming week every Monday morning

Draft vacation follow-up email - After returning from time off, draft follow-up emails to clients you missed

Quote of the day - Send a daily inspirational quote to start the morning

Common questions

Can I edit a workflow after creating it?Yes. Click any workflow from the Workflows page to update its title, instructions, schedule, or trigger conditions.

How do I pause a workflow without deleting it?Toggle Automatically run this workflow off. The workflow stays on your list and can still be run manually by asking Quin.

What happens if I'm not available when a workflow runs?Quin completes the workflow and sends you the results. You'll receive them the next time you check chat, email, or your CRM.

Can I run a workflow without waiting for the schedule?Yes. Ask Quin to run the workflow by name and it will run immediately. The workflow resumes its normal schedule afterward.

What's the difference between a recurring schedule and triggered by Quin?Recurring schedule workflows run at specific times you set, like every Monday at 9am. Triggered workflows run automatically when Quin detects certain conditions, like a topic mentioned during a meeting.
