Connect Gmail to Quin for automatic email replies, follow-ups, and CRM updates. Quin monitors your inbox, drafts responses in your voice, and keeps conversations moving without manual effort.

Connecting Gmail to Quin allows your Email Assistant to automatically draft replies, follow-ups, and reminders based on your meetings and CRM context. Quin monitors your inbox, learns your writing style from sent emails, and keeps your communications organized across all your tools.

Before you begin

You need a Google account with access to Gmail.

How to set it up

  1. Go to Settings > Integrations
  2. Click Add Integration
  3. Select Gmail from the list
  4. Click Connect and sign in to your Google account
  5. Review the permissions Quin requests (read and write access to your emails)
  6. Click Allow to complete the connection

Your Gmail integration will now appear as "Active" in your Integrations page.

What to expect

After connecting Gmail, Quin automatically monitors your inbox for messages that need responses or follow-ups. Quin analyzes your sent emails to learn your writing style and tone, then uses this to draft personalized replies that match your voice. Draft emails appear in your Gmail Drafts folder, ready for you to review and send. Quin also tracks email conversations and logs activity to your CRM automatically.

Examples:

  • You finish a client meeting and Quin drafts a follow-up email with the meeting summary
  • Someone replies to your email and Quin drafts a response that includes context from previous conversations
  • A prospect hasn't responded in a few days and Quin prepares a gentle follow-up email
  • You mention a next step in an outgoing email and Quin creates a task in your CRM automatically

How it works

Quin uses your Gmail to manage complete email workflows:

Auto replies - Quin monitors incoming emails and automatically drafts responses based on your CRM context, recent meetings, and conversation history. You can configure which contacts receive auto-drafted replies in your Email Assistant settings.

Voice personalization - Quin scans your sent emails to learn your writing style, tone, and common phrases. All future drafts match your natural voice and communication patterns.

Auto follow-ups - When emails go unanswered or meetings conclude, Quin drafts timely follow-up messages to keep conversations moving. You can customize who receives auto-drafted follow-ups in your Email Assistant settings.

CRM syncing - Email activity, conversation summaries, and commitments mentioned in emails automatically log to your connected CRM without manual data entry.

Task creation - When you mention action items or next steps in emails, Quin creates tasks with appropriate due dates and syncs them to your task management system.

Guidelines support - Add custom guidelines in your Email Assistant settings to control how Quin drafts emails, like "Use a friendly tone for clients" or "Always include my calendar link in follow-ups."

Managing the integration

To select which email accounts to monitor:

  1. Go to Settings > Email assistant
  2. Under Which email accounts to use, check the accounts you want Quin to monitor
  3. Uncheck any accounts you want to exclude

To update your email signature:

  1. Go to Email Assistant settings
  2. Next to your checked email account, click the signature icon
  3. Edit your signature in the text editor
  4. Your signature will automatically appear in all future email drafts

To disconnect Gmail:

  1. Go to Settings > Integrations
  2. Find the Gmail integration
  3. Click Disconnect
  4. Confirm to stop email monitoring

Disconnecting stops Quin from accessing your inbox and drafting emails. Existing drafts in Gmail and conversation history remain unchanged.

Troubleshooting

Quin isn't drafting replies to my emails

  • Verify the integration is still connected in Settings > Integrations
  • Check your Email Assistant settings to confirm Auto replies is turned on
  • Make sure the sender matches your Auto reply criteria (all contacts in CRM, contacts assigned to you, etc.)
  • Verify the correct email account is selected in your Email Assistant settings

Draft emails don't sound like me

  • Quin needs a few sent emails to learn your voice - send some emails manually first
  • Check that Quin has read access to your sent folder
  • Add specific guidelines in your Email Assistant settings about your preferred tone and style
  • Review and edit drafts to help Quin refine its understanding of your voice

Follow-ups aren't being drafted automatically

  • Confirm Auto follow-ups is turned on in your Email Assistant settings
  • Check that the recipient meets your Auto follow-up criteria (everyone or only external contacts)
  • Verify enough time has passed since the last message (Quin waits for appropriate timing)
  • Make sure the conversation isn't marked as complete or archived

My email signature isn't appearing in drafts

  • Go to Email Assistant settings and verify your signature is saved
  • Check that you're viewing drafts from the correct email account
  • Try updating your signature and saving it again
  • Disconnect and reconnect the Gmail integration

Email activity isn't appearing in my CRM

  • Verify your CRM integration is connected in Settings > Integrations
  • Check that the email contact exists in your CRM
  • Confirm your CRM integration has write permissions for contact activities
  • Try manually logging one email to trigger the sync
