Connect Microsoft Outlook to Quin for automatic meeting attendance, calendar syncing, email drafts, and follow-ups. Quin joins meetings, tracks your schedule, and manages email communications seamlessly.

Connecting Microsoft Outlook to Quin allows your assistant to automatically join scheduled meetings, monitor your calendar, draft email replies, and manage follow-ups. Quin syncs with both Outlook Calendar and Outlook Mail to provide complete meeting and communication workflows.

Before you begin

You need a Microsoft account with access to Outlook Calendar and Outlook Mail.

How to set it up

  1. Go to Settings > Integrations
  2. Click Add Integration
  3. Select Microsoft Outlook from the list
  4. Click Connect and sign in to your Microsoft account
  5. Review the permissions Quin requests (read and write access to calendar and email)
  6. Click Allow to complete the connection

Your Microsoft Outlook integration will now appear as "Active" in your Integrations page.

What to expect

After connecting Microsoft Outlook, Quin automatically monitors your calendar and joins meetings with video conferencing links. Your calendar events appear on your Meeting notes page and in your Daily brief. When someone books a meeting through your Quin Scheduler link, it automatically adds to your Outlook Calendar. Quin also monitors your Outlook inbox and drafts email replies based on your writing style and conversation context.

Examples:

  • You schedule a meeting in Outlook Calendar with a Teams link and Quin joins automatically at the start time
  • Someone books a call using your Scheduler link and it appears on your Outlook Calendar instantly
  • You receive an email from a client and Quin drafts a response in your voice
  • You check your Daily brief and see today's schedule with preparation notes for each meeting
  • You commit to sending a proposal by Friday during a meeting and Quin creates a task with that deadline

How it works

Quin uses your Microsoft Outlook to manage complete meeting and email workflows:

Automatic meeting attendance - Quin monitors your Outlook Calendar and automatically joins meetings with video conferencing links at the scheduled time.

Meeting notes page sync - All meetings from your Outlook Calendar appear on your Meeting notes page, showing upcoming meetings and past meeting recaps.

Daily brief integration - Your calendar events appear in your Daily brief each morning with context and preparation notes.

Scheduler integration - When someone books a meeting through your Quin Scheduler link, it automatically adds to your Outlook Calendar with all meeting details and video conferencing link.

Email monitoring - Quin monitors your Outlook inbox for messages that need responses or follow-ups based on your Email Assistant settings.

Auto replies - Quin drafts email responses based on your CRM context, recent meetings, and conversation history. Drafts appear in your Outlook drafts folder.

Voice personalization - Quin reads your sent emails to learn your writing style, tone, and common phrases for future drafts.

Auto follow-ups - When emails go unanswered or meetings conclude, Quin drafts timely follow-up messages in your Outlook drafts.

Meeting preparation - Before scheduled meetings, Quin surfaces relevant context including past conversations, notes, and CRM details about attendees.

Commitment tracking - When you mention deadlines or commitments during meetings, Quin tracks them and creates tasks with appropriate due dates.

Grant tenant-wide admin consent

If you're an IT administrator managing Microsoft 365 for your organization, you may need to grant tenant-wide admin consent for the Quin application before users can connect it. This allows Quin to access calendar and email data on behalf of your organization's users.

Granting admin consent is a sensitive operation that gives Quin access to requested permissions for your whole organization. Review the permissions carefully before granting consent.

To grant admin consent:

  1. Go to Microsoft Entra admin center
  2. Click Enterprise applications on the left navigation
  3. Find and click Quin in the application list
  4. Go to Security > Permissions
  5. Click the blue button Grant admin consent for [your organization]
  6. Review and approve the requested permissions

Managing the integration

To disconnect Microsoft Outlook:

  1. Go to Settings > Integrations
  2. Find the Microsoft Outlook integration
  3. Click Disconnect
  4. Confirm to stop calendar and email syncing

Disconnecting stops Quin from accessing your calendar and inbox. Existing meeting notes, email drafts, and tasks remain in your account.

Troubleshooting

Quin didn't join my scheduled meeting

  • Verify the integration is still connected in Settings > Integrations
  • Confirm that Meeting assistant > Notetaker is enabled
  • Check that the meeting has a video conferencing link (Teams, Zoom, or Google Meet)
  • Confirm the meeting appears on the Outlook Calendar connected to Quin
  • Share the meeting link directly with Quin in chat as a backup

My calendar meetings aren't showing on the Meeting notes page

  • Confirm the integration shows as "Active" in Settings > Integrations
  • Refresh your Meeting notes page to see the latest updates
  • Check that the meetings exist on the correct Outlook Calendar account
  • Try disconnecting and reconnecting the integration

Quin isn't drafting replies to my Outlook emails

  • Verify the integration is still connected in Settings > Integrations
  • Check your Email Assistant settings to confirm Auto replies is turned on
  • Make sure the sender matches your Auto reply criteria
  • Verify the correct email account is selected in your Email Assistant settings

I can't connect Outlook for my organization

  • Check with your IT administrator about application permissions
  • Your organization may require tenant-wide admin consent before connecting third-party apps
  • Review Microsoft's guidance on granting admin consent
  • Contact your Microsoft 365 administrator to request approval for the Quin app

Draft emails don't sound like me

  • Quin needs a few sent emails to learn your voice - send some emails manually first
  • Check that Quin has read access to your sent folder
  • Add specific guidelines in your Email Assistant settings about your preferred tone and style

Meetings booked through my Scheduler link aren't appearing on my calendar
