Record in-person meetings on iPhone

The iPhone app records through your phone's microphone. On a computer, use Meeting notetaker in your browser.

Before you begin

  • Download Quin from the App Store and sign in with your Quin account
  • Tap I agree on the AI data processing prompt the first time you open the app. Recording and chat stay blocked until you do.
  • Turn on the Notetaker workflow in Settings > Workflows > Notetaker. If it's off, the app asks you to enable it before you can record.
  • Allow microphone access in iPhone Settings > Privacy & Security > Microphone and turn Quin on

How to record an in-person meeting

  1. Open the app and tap Record meeting, or go to Meeting notetaker
  2. Choose In-person
  3. If the meeting is already on your calendar, tap Start notetaker for that meeting. Otherwise, enter who you're meeting with. Use full names, separated by commas. Start meeting stays disabled until you enter a name.
  4. Tap Start meeting
  5. Confirm the timer is running and the waveform is moving while people talk. A flat line means Quin isn't hearing the room.
  6. Leave the recording screen open. When the meeting is over, tap End meeting and stay in the app until the upload finishes. You'll see Uploading recording, then Ending meeting or Processing transcript.
  7. When you see You're all set, Quin is processing the transcript

Tips for a clear recording

  • Set the phone on the table, screen up, closer to the people speaking. A pocket, bag, or the far end of a long table drops voices out of the transcript.
  • Watch the waveform for the first minute. If it isn't moving, fix the microphone before the meeting gets going.
  • Flip the Ring/Silent switch off mute. A muted iPhone can leave the recording silent.
  • Keep the recording screen open until you tap End meeting, and don't force-quit the app while it says Uploading recording
  • Use a stable connection when you end the meeting. Audio uploads in pieces, and a dropped connection delays the recap.
  • Enter full names so Quin can match the right people in your CRM

What to expect

Once you see You're all set, Quin processes the transcript and sends a recap email within a few minutes. The recap includes CRM updates, tasks with deadlines, and drafted follow-up emails, just like it does for video and phone calls. You can also open the recap later under Meeting notes.

Troubleshooting

"We can't hear any audio"

  • The recording is running, but Quin isn't detecting sound
  • Check that the Ring/Silent switch isn't on mute
  • Check that Quin is allowed under iPhone Settings > Privacy & Security > Microphone
  • Make sure nothing is covering the microphone. The waveform should move when someone speaks.

Start meeting is disabled

  • Enter at least one attendee name
  • You can also start the notetaker from the calendar meeting already on screen

The app says the Notetaker is not active

Recording Error

  • The message on screen is the specific cause
  • Allow microphone access for Quin in iPhone settings
  • Close and reopen the app, then start the meeting again

The recap never arrived

  • Stay on the screen until the upload finishes and you see You're all set
  • Recaps usually arrive within a few minutes after the recording ends
  • Very short recordings may not have enough conversation to summarize
  • If you left before tapping End meeting, open Meetings and tap Finalize recording on that meeting. The same button appears on the meeting itself when Quin still needs the recording closed.
  • Confirm you're signed in to the same Quin account you use on your computer

Uploading recording won't finish

  • Stay on Wi-Fi or a strong cellular connection and leave the app open. Quin retries the upload.
  • If it's still stuck, force-quit only after the status stops changing, then reopen the app
  • Tap Finalize recording if the meeting is still open

Usage limit reached, or the trial has ended

  • Recording won't start until you upgrade in Account > Billing & usage
  • If you've hit a personal limit, ask an account admin for more hours

The recording is hard to understand

  • Move the phone closer to the speakers
  • Set it on a hard surface instead of a lap or notebook
  • Avoid recording next to a loud vent, speaker, or open window. Background noise usually breaks the transcript, not the length of the meeting.
