Connect Quin with Zoom Phone to automatically join your phone calls, listen to conversations, and capture important moments without manual setup. When you make or receive a Zoom Phone call, Quin can join to create notes, action items, and follow-up drafts based on the discussion.

Before you begin

Make sure you have an active Zoom Phone number and the Zoom Phone desktop or mobile app installed. You'll also need a calendar integration connected (Google Calendar, Microsoft Outlook, or Microsoft Exchange) if you want Quin to automatically join scheduled phone calls.

How to set it up

  1. Go to Settings > Integrations
  2. Click Add Integration
  3. Select Zoom Phone from the list and click Connect
  4. Follow the prompts to authenticate your Zoom account
  5. Click Allow to grant Quin permission to join phone calls

Once connected, the integration status shows as Active in Settings > Integrations.

What to expect

After connecting Zoom Phone, Quin can join your phone calls to capture key decisions, action items, and important discussion points. When the call ends, Quin generates a summary with next steps and can draft follow-up emails or create CRM updates based on your [Guidelines]. All call content is processed only for notes and summaries within your account.

How Quin joins phone calls

Quin joins Zoom Phone calls in two ways:

  • Automatically - When a scheduled phone call appears on your connected calendar with Zoom Phone dial-in information, Quin joins at the start time
  • Manually - You can add Quin to an active call through the Zoom Phone app's call controls, or send Quin a request in chat to join a specific call

Quin appears as a participant on the call, and other participants hear an announcement when Quin joins. You can control whether Quin joins specific calls through your [Meeting Assistant settings].

Managing Quin on phone calls

If you need to remove Quin from a call that's already in progress, you can remove it through Zoom Phone's call controls. To prevent Quin from joining future calls, adjust your [Meeting Assistant settings] or update your [Guidelines] with instructions like "Never join phone calls with clients" or "Only join internal team calls."

Disconnecting Zoom Phone

If you need to disconnect Zoom Phone:

  1. Go to Settings > Integrations
  2. Find the Zoom Phone integration
  3. Click Disconnect
  4. Confirm the disconnection

Disconnecting stops Quin from joining future Zoom Phone calls. Call notes already captured remain in your account.

Troubleshooting

Quin didn't join my scheduled phone call

  • Verify the Zoom Phone integration shows as Active in Settings > Integrations
  • Check that your calendar integration (Google Calendar or Outlook) is also connected
  • Confirm the meeting includes Zoom Phone dial-in information in the calendar event
  • Make sure Meeting Assistant is turned on
  • You can manually add Quin through the Zoom Phone app's call controls during the call

Quin joined a call I didn't want it on

  • Adjust your Meeting Assistant settings to control when Quin joins automatically
  • Update your Guidelines to specify which calls Quin should skip
  • Remove Quin from the call through Zoom Phone's call controls if it's already in progress

Other participants can't hear the join announcement

  • Quin announces its presence when joining, but some participants may have notifications muted
  • Let participants know at the start of the call that Quin is recording for notes
  • Check with your Zoom administrator about notification settings

Call notes are missing information

  • Quin captures conversation based on audio quality. Poor connections may affect note accuracy
  • Check your Guidelines to ensure you've specified what information Quin should capture
  • Verify all participants were unmuted when speaking
  • Make sure the call wasn't placed on hold for extended periods

I can't find the option to add Quin to an active call

  • Update your Zoom Phone app to the latest version
  • Verify the Zoom Phone integration is connected and shows as Active
  • Check that you have permission to add participants to calls in your Zoom Phone settings
  • Contact your Zoom administrator if call recording features are restricted
