ShareFile
Connect your ShareFile account to let Quin search, read, and manage client documents in Client Vault, Prospect Vault, and Shared Folders directly through conversation.
Connect your ShareFile account to let Quin access, search, and manage your client documents. When you need information from files stored in Client Vault, Prospect Vault, or Shared Folders, Quin can search your ShareFile and incorporate relevant content into responses. You can also ask Quin to create new folders, rename documents, or organize files, streamlining your document management.
How to set it up
- Go to Settings > Integrations
- Find ShareFile and click Connect
- Sign in to your ShareFile account when prompted
- Review the permissions Quin is requesting
- Click Allow to authorize the connection
After connecting, Quin can search, read, and manage folders and files across your ShareFile account.
What to expect
After connecting ShareFile, Quin can access your client documents when you ask questions or request information that might be stored there. For example, if you ask "Find the signed advisory agreement for the Thompson account," Quin searches My Files and Shared Folders, often working through client-named vault folders, and returns the matching document. You can also ask Quin to create a folder, upload a file, or move a document, such as "Move this proposal into the Thompson Prospect Vault folder." Quin handles folder and file organization without you needing to switch apps or manually browse through your vaults.
How Quin uses your ShareFile files
Quin accesses ShareFile from chat only. Once connected, Quin can search and read files, and search, create, rename, copy, move, and delete both files and folders. Searches typically start with a short name or keyword, like a client's last name or a document type, and Quin checks ShareFile's own search first, then falls back to listing folders and walking through vault-style structures like Client Vault or Prospect Vault when needed. To read a file's contents, Quin downloads it directly through the ShareFile integration using its file ID, not a ShareFile web link. If you paste a ShareFile URL instead, Quin tries to resolve it back to a file ID before downloading.
ShareFile access is scoped to your individual account, not shared across your whole organization. Quin doesn't manage sharing permissions, calendars, or email through this integration. Its scope is limited to finding, reading, and organizing files and folders in chat.
Troubleshooting
Quin can't find a document that exists in my ShareFile account
- Try a shorter, more specific search term, like a client's last name or a document type
- Check whether the file sits in a folder Quin hasn't been given access to
- Specify the vault or folder name, like "Client Vault" or "Prospect Vault," to narrow the search
Quin can't open a file I shared as a link
- Ask Quin to search for the file by name instead of pasting the ShareFile URL directly
- Confirm the file hasn't been moved or deleted since the link was created
Quin can't create, rename, or move files or folders
- Verify you granted full permissions during setup, not read-only access
- Check that the target folder exists and you have permission to add items to it
- Go to Integrations and reconnect ShareFile with full permissions
The connection shows as disconnected
- Go to Integrations and reconnect ShareFile
- Check that you haven't revoked Quin's access in your ShareFile account settings
- Try disconnecting and reconnecting the integration
Quin only shows my files, not a teammate's
- ShareFile access in Quin is scoped to your individual account, so it reflects only the files and folders you personally have access to
- Each teammate needs to connect their own ShareFile account to search their vault
