Microsoft Teams Phone

Connect Quin with Microsoft Teams Phone to automatically process call transcripts, capture key decisions, and generate summaries, action items, and follow-up drafts.

Connect Quin with Microsoft Teams Phone to automatically process your call transcripts and generate meeting notes, action items, and follow-up drafts. Quin captures key decisions and next steps from every call so you can stay focused on the conversation.

Before you begin

Make sure you have an active Microsoft Teams Phone number and call transcription enabled in your Microsoft Teams settings. You'll need permission to record and transcribe calls in your Teams account.

How to set it up

  1. Go to Settings > Integrations
  2. Click Add Integration
  3. Select Microsoft Teams Phone from the list and click Connect
  4. Follow the prompts to authenticate your Microsoft account
  5. Click Allow to grant Quin permission to access your call transcripts

Once connected, the integration status shows as Active in Settings > Integrations.

What to expect

After connecting Microsoft Teams Phone, Quin automatically retrieves your call transcripts and generates summaries with key decisions, action items, and discussion points. When each transcript is ready, Quin creates a recap and can draft follow-up emails or create CRM updates. All transcripts are processed securely within your account.

How it works

Quin monitors your Microsoft Teams Phone account for new call transcripts. When a call ends, Quin retrieves the transcript and processes it to create notes and summaries. You don't need to manually upload anything or trigger any actions.

Transcription must be enabled in Microsoft Teams Phone for Quin to process your calls. Other call participants hear a standard Teams notification when transcription is active.

Managing call transcripts

To control which calls Quin processes, use your Guidelines to specify instructions like "Only process calls longer than 5 minutes" or "Skip internal team calls." Guidelines are instructions that tell Quin how to handle your calls, like what to capture or what to ignore. You can also manually delete specific call recaps from your account if needed.

Disconnecting Microsoft Teams Phone

If you need to disconnect Microsoft Teams Phone:

  1. Go to Settings > Integrations
  2. Find the Microsoft Teams Phone integration
  3. Click Disconnect
  4. Confirm the disconnection

Disconnecting stops Quin from retrieving future call transcripts. Call notes already captured remain in your account.

Troubleshooting

Quin didn't process my call

  • Verify the Microsoft Teams Phone integration shows as Active in Settings > Integrations
  • Confirm that transcription was enabled during the call
  • Check that the call completed successfully in Microsoft Teams
  • Wait a few minutes after the call ends for Quin to retrieve and process the transcript
  • Very short calls (under 1 minute) may not be processed

I can't find my call in Quin

  • Verify that transcription was turned on during the call
  • Check your Microsoft Teams Phone settings to confirm transcription is enabled
  • Contact your Teams administrator if transcription features are restricted
  • Allow up to 10 minutes after the call ends for processing

Quin is processing calls I don't want captured

  • Update your Guidelines to specify which calls Quin should skip
  • Turn off transcription in Microsoft Teams Phone for calls you don't want processed
  • Manually delete call recaps from your account after they're created

Call notes are missing information

  • Quin captures conversation based on transcript quality. Poor connections may affect note accuracy
  • Check your Guidelines to ensure you've specified what information Quin should capture
  • Verify all participants were unmuted when speaking
  • Make sure the call wasn't placed on hold for extended periods
