Client onboarding
Welcome new clients warmly and set clear expectations from the start.
I want to welcome new clients warmly and set clear expectations from the start. This workflow creates a comprehensive onboarding email and sets up the necessary follow-up tasks for me.
Follow these steps:
1. Pull the new client's information from my CRM, including their name, contact details, how they came to me (referral source or lead source), and any notes from initial conversations.
2. Check my calendar to find my next available time slots over the next 2 weeks for an initial onboarding meeting.
3. Draft a welcome email in my draft folder for the new client. Follow these rules:
- Keep the tone warm, professional, and welcoming.
- Thank them for choosing to work with me.
- Acknowledge how they came to me if it was through a referral.
- Briefly explain what they can expect in terms of our working relationship and next steps.
- Include 3 specific available time slots for an initial onboarding meeting.
- Mention the documents or information they should prepare before our first meeting (listed below).
* Recent account statements (investment, retirement, bank accounts)
* Current insurance policies (life, disability, long-term care)
* Estate planning documents (will, trust, power of attorney)
* Recent tax returns (last 2 years)
* Employee benefits summary if applicable
* List of current financial goals and concerns
- Keep it clear and organized, not overwhelming.
- Use the following example for inspiration:

Hi [First Name],
Welcome! I'm excited to start working with you [and thank you to [Referral name] for the introduction].
I want to make sure we get off to a great start. Our first meeting will be a chance for me to learn more about your goals, answer any questions you have, and walk you through how we'll work together.
Here are a few times that work on my end for our initial meeting - let me know which works best for you:
- [Day, Date] at [Time]
- [Day, Date] at [Time]
- [Day, Date] at [Time]
Before we meet, it would be helpful if you could gather the following:
- Recent account statements (investment, retirement, bank accounts)
- Current insurance policies (life, disability, long-term care)
- Estate planning documents (will, trust, power of attorney)
- Recent tax returns (last 2 years)
- Employee benefits summary if applicable
- A list of your current financial goals and any concerns you'd like to discuss
Don't worry if you don't have everything - we can work with what you have.
Looking forward to our conversation!
Best regards,
