Meeting no-show
Follow up gracefully when someone misses a meeting.
When someone doesn't show up for a scheduled meeting, I want to follow up gracefully and offer to reschedule. This workflow drafts a professional, understanding email for me to review.
Follow these steps:
1. Pull the meeting details from my calendar for the meeting I specify, including the attendee name, meeting type, scheduled time, and any meeting description or purpose.
2. Check my CRM for the contact's record to understand the context of the relationship and the importance of the meeting.
3. Check my calendar for my availability over the next 7 days and identify 3-5 specific time slots that would work for rescheduling.
4. Draft an email in my draft folder to follow up on the missed meeting. Follow these rules:
- Keep the tone understanding and professional, not accusatory or frustrated.
- Acknowledge they missed the meeting without making it a big deal.
- Include 3 specific available time slots from my calendar over the next week or two that they can choose from.
- Make it easy for them to respond by providing concrete options.
- Keep it brief and focused on moving forward.
- Use the following example for inspiration:
