Personalized outreach to clients who haven't had a meeting in 6 months.

I want to stay connected with my clients through regular meetings. My goal is to connect with clients either via meeting every six months minimum. This workflow identifies clients I haven't met with in 6 months and creates personalized meeting request emails for me to review.

Follow these steps:

1. Look at my calendar from 6 months ago over a 7-day window (so 180-187 days ago) to identify my clients I had meetings with during that period.

2. For each client identified, check whether there have been any meetings held with that person in the 6 months since that meeting, or if there are any future meetings scheduled with them.

3. For clients with no meetings in the past 6 months and no future meetings scheduled, pull notes from their last meeting and any relevant information from their CRM record (recent life events, goals discussed, action items completed, etc.).

4. Draft a personalized email in my draft folder requesting to schedule a meeting. Follow these rules:
   - Keep the tone warm and genuine.
   - Acknowledge it's been a while since you last met.
   - Reference something specific from your last meeting or their CRM record to make it personal (a topic discussed, a goal they mentioned, a life event, etc.).
   - Suggest a reason for meeting that's relevant to them based on what you know (annual review, catch up on progress, discuss upcoming planning, follow up on previous topics, etc.).
   - Make it easy for them to respond by offering flexibility on timing.
   - Keep it conversational and client-focused, not transactional.
   - Use the following example for inspiration:

I realized it's been about six months since we last met, and I wanted to reach out to schedule some time together. [Reference something specific from last meeting or CRM - e.g., "Last time we talked, you mentioned your daughter was starting college - I'd love to hear how that's going" or "I know we discussed reviewing your portfolio allocation, and I want to make sure we follow up on that"].

Would you have time in the next few weeks for a call or meeting? I'm flexible on timing - happy to work around your schedule.

5. Send me an email with a summary of all clients who haven't had a meeting in 6 months and don't have future meetings scheduled. Include their names and the date of their last meeting. This will serve as a notification for me to check my drafts folder to review and send the emails.
