Ghosted lead
Identify new leads that have gone quiet for targeted follow-up.
I want to identify new leads that have gone quiet so I can follow up before they lose interest. This workflow flags recent contacts that need my attention.
Follow these steps:
1. Check my CRM for all contacts created in the last 60 days. These are considered leads.
2. For each lead, determine the date of my last logged activity. Logged activity includes: emails sent or received, meetings held, calls logged, or notes added to the contact record.
3. Identify any leads where I haven't logged activity in 30-37 days as ghosted. This ensures each lead appears only once when they first hit the 30-day mark.
4. For each ghosted lead, pull the following information:
- Contact name
- Company if available
- Date they were added to my CRM
- Lead source or how they came to me if recorded
- Current status or stage if applicable
- Date of last activity
- Days since last activity
- Type of last activity (email, meeting, call, note)
5. Check for any open tasks assigned to me related to each ghosted lead. Include:
- Task name
- Due date
- Task status (especially if overdue)
6. Sort the leads by days since last activity, with the longest time since activity first.
7. Send me a summary email organized with the following information:
- Total number of ghosted leads (no activity in 30-37 days)
- List of leads with details for each:
* Contact name
* Company
* Date added to CRM
* Lead source
* Days since last activity
* Last activity type
* Any open or overdue tasks
- Recommendation to re-engage with a value-driven touchpoint or consider removing from active leads if they're unresponsive
