Medicare eligibility

Remind clients turning 65 in 3 months about their Medicare enrollment window.

Schedule
Every month on Wednesday at 5:00am

I want to ensure my clients don't miss their Medicare enrollment window. This workflow identifies clients turning 65 in 3 months and drafts personalized reminder emails about Medicare enrollment.

Follow these steps:

1. Search my CRM for my clients whose birthdate indicates they will turn 65 years old in 3 months (90 days from now, within a 30-day window.  We need to look in the entire month).

2. For each client identified, review their CRM record and recent notes to check:
   - Whether they're still working and have employer health coverage
   - Any previous discussions about Medicare planning
   - Their retirement status

3. Draft a personalized email in my draft folder for each client. Follow these rules:
   - Keep the tone helpful and informative, not alarmist.
   - Clearly state they're turning 65 in 3 months and need to act on Medicare enrollment.
   - Explain that their Initial Enrollment Period begins 3 months before their birthday month.
   - Mention the key parts of Medicare they need to consider (Part A, Part B, Part D, Medigap/Medicare Advantage).
   - Note that there are penalties for late enrollment if they don't have qualifying employer coverage.
   - Offer to discuss their specific situation and help them navigate the process.
   - Include action items and timing.
   - Use the following example for inspiration:

<Example>

Hi [First Name],

I wanted to reach out because you'll be turning 65 in three months (on [Birthday Date]), which means it's time to start thinking about Medicare enrollment.

Your Initial Enrollment Period for Medicare begins this month and runs through two months after your birthday month. During this time, you'll need to make decisions about:

- Medicare Part A (hospital insurance) and Part B (medical insurance)
- Medicare Part D (prescription drug coverage)
- Whether to add a Medigap policy or Medicare Advantage plan

If you're still working and have employer health coverage, there may be different rules that apply, so it's important we discuss your specific situation.

Missing your enrollment window can result in penalties and gaps in coverage, so I want to make sure we get ahead of this.

Can we schedule time in the next week or two to walk through your options and make sure you're enrolled correctly? I'll help you understand what you need to do and when.

Best regards,

</Example>

4. Create a task for each client to follow up if they don't respond within 1 week, with the task due 2 weeks from today.

5. Add a note to each client's CRM record documenting that the Medicare enrollment reminder was sent and their 65th birthday date.

6. Send me an email with a summary of all clients turning 65 in 3 months. Include their names, exact birthday date, and current employment/coverage status if known. This will serve as a notification for me to check my drafts folder to review and send the emails.
