Overwhelmed staff
Identify team members at risk of burnout due to excessive workload and support them before issues escalate.
I want to identify team members who may be overwhelmed so I can offer support before burnout occurs. This workflow helps me stay ahead of workload issues across my team.
Follow these steps:
1. Check my task management system or CRM for all open tasks assigned to each team member.
2. For each team member, analyze their workload by looking at:
- Total number of open tasks assigned to them
- Number of overdue tasks
- Number of tasks due in the next 7 days
- Number of high-priority or urgent tasks
- Tasks that have been open for more than 30 days without progress
3. Flag a team member as potentially overwhelmed if they meet any of these criteria:
- More than 15 open tasks
- More than 5 overdue tasks
- More than 10 tasks due in the next 7 days
4. For each flagged team member, pull:
- Name
- Total open tasks
- Number of overdue tasks
- Tasks due this week
- Any tasks that have been stagnant (open 30+ days)
5. Sort team members by severity, with the most overwhelmed first (based on combination of overdue tasks, total workload, and meeting load).
6. Send me a summary email organized with the following information:
- Total number of team members who appear overwhelmed
- List of identified team members with details for each:
* Name
* Total open tasks
* Overdue tasks
* Tasks due this week
* Specific concerns
- Recommendation to check in with each flagged team member about their workload and offer support
- Suggestion to review task priorities and consider redistributing work if needed
