Adding New Leads to Mailchimp After Every Client Call

A new lead calls in, or a client refers someone, and now there's a contact who needs to land in Mailchimp under the right list with the right tag so they start getting the welcome series or the next newsletter. In the moment, adding them isn't the priority, and the person who could add them has other things to do first.

That's usually where the contact sits in a notebook or a CRM field nobody exports, and the add to Mailchimp happens weeks later, or not at all. When it does happen, the person adding them often can't remember the correct list, so the contact lands somewhere generic instead.

What tends to get missed

  • The right list. A firm might run five or six lists, and someone working from memory often guesses instead of checking.
  • The tag that explains who they are. Without a tag noting where the contact came from, a referral looks identical to someone who filled out a web form.
  • The window before the next send. A contact added a week after a campaign goes out misses that email entirely.
  • Duplicate entries. If someone isn't sure a contact already exists in Mailchimp, they add them again instead of checking first.
  • The conversation context. Whether someone is a prospect, a referral, or a former client circling back changes which list and tag fits.
