When your Airtable prospect tracker doesn't match what happened on the call

A prospect says they're ready to move forward, and the next ten minutes go to scheduling the follow-up. The Airtable base tracking where every prospect stands sits untouched. By the time anyone opens it again, the Stage field still reads "Discovery Call," the Notes column is blank, and the base is wrong about the one thing it exists to track.

For a solo advisor or small team running a homegrown prospect tracker in Airtable instead of a full CRM, this is the recurring failure point. The base is only as good as its last update, and that update is the step that gets skipped once the call has taken the time.

What tends to fall out of a prospect tracker

  • Stage changes. The field showing where a prospect stands rarely moves the same day a call moves them there.
  • Next steps. The specific action agreed to on the call, like sending a proposal, often lives only in the advisor's memory.
  • Numbers and dates discussed. An account size, a target date, or a rollover amount mentioned on the call rarely makes it into the record.
  • Referral source. How a prospect found the firm gets left out once the call moves on to logistics.

How Quin handles this in Airtable

Best practices for an Airtable prospect tracker

  • Name fields consistently before connecting the integration. Since Quin checks the schema first, clear field names cut down on updates landing in the wrong place.
  • Keep one table as the source of truth for stage and status. If stage lives in more than one place, specify which table and field to update.
  • Give records unambiguous names. Two prospects with the same first name are easier to tell apart when the title includes a last name or company.
  • Review the first several updates closely. It's the fastest way to catch a field mismatch before it repeats.

Setting it up

Connect Airtable under Settings, then Integrations, select the bases Quin should access, and confirm when prompted. From there, turn on the Notetaker for prospect calls, and tell Quin which base and table the tracker lives in the first time you ask it to update a record.
