Getting an answer that's buried in a Box document

A case file grows for months: intake forms, correspondence, a settlement draft from three revisions back. Somewhere in that pile is the answer to a question a colleague asks in passing, like what number was actually agreed to in the last draft. Finding it means remembering which document has it, opening Box, and searching by a term that may or may not match the exact wording.

What normally has to happen to find one detail

• Remembering which document the information was written down in, out of dozens with similar names.
• Opening Box and searching by a keyword that might not match how it was actually phrased.
• Opening several candidate files to check which one has the answer.
• Reading through a document once the right one turns up, to find the specific line that matters.
• Giving up partway through and just asking a colleague who might remember instead.

How Quin handles it

Quin can search Box when a question might be answered by something already stored there. Ask something like "what did we decide about the Q4 budget," and Quin searches the connected files and provides the relevant information directly, rather than pointing to a document to go read.

Say a settlement figure changed across three drafts of the same document, and only the final number matters right now. Asking Quin about it searches Box for the relevant content and surfaces the answer, instead of opening all three drafts to compare them by eye.

Why this matters

A detail that's technically stored somewhere is only useful if it can be found again without more effort than the question is worth. Being able to ask directly, instead of reconstructing which file has it and searching by hand, is what keeps a document from being effectively lost the moment it's filed away with everything else. The information was never gone, just buried under enough other paperwork to make finding it its own small project.

Getting the most out of it

• Ask specific questions using terms likely to appear in the document itself.
• Rephrase with more detail if the first attempt doesn't surface the right file.
• Check that a file isn't restricted by special permissions if Quin can't find something you know exists.
• Confirm the file format is supported; common document types and PDFs work, but not everything does.

Setting it up

Connect Box under Settings, then Integrations, and grant the permissions Quin requests during setup. From there, asking a question that might be answered by a Box file searches it directly, the same way it would for a file freshly uploaded or one that's been sitting there for years.
