Bringing Your Fireflies Meeting History Into Quin

A financial advisory firm switches from Fireflies to Quin, but three years of client meetings are still sitting inside Fireflies. Buried in those transcripts is the risk tolerance conversation from a 2023 review and a commitment made on a rollover call last spring. None of that history exists inside Quin, because Quin only started taking notes the day the switch happened.
What Tends to Get Missed
- Old commitments disappear. A promise made on a Fireflies call has no easy path into the follow-up workflow Quin now runs.
- Client history splits in two. New notes live in Quin, old notes live in Fireflies, and nobody wants to open both apps to piece together one story.
- Search stops covering the full record. An advisor recalling a Roth conversion has to guess which tool holds the answer before they can even look.
- New hires catch up slower. Whoever inherits a book of business digs through a second tool just to learn a relationship's history.
- Compliance reviews take longer. Pulling a full record of client interactions means stitching two transcript libraries together by hand.
How Quin Handles It
Quin connects to Fireflies through a read-only link. It cannot create, edit, or delete anything in the Fireflies account, but it can search the transcript library by keyword, date range, organizer, or participant, and pull a full transcript by its Fireflies ID, right inside chat.
Picture an advisor prepping for a review with a client onboarded two years ago, back when the firm still ran everything through Fireflies. Instead of opening Fireflies separately, they ask Quin to pull up every meeting with that client. Quin searches by participant email, retrieves the matching transcripts, and surfaces what was discussed at onboarding and what was promised last review, right where the advisor is already working.
Once a transcript comes back, it gets the same treatment as any meeting Quin ran itself. Guidelines apply, a summary gets generated, and details can feed into a follow-up or a CRM update. The old meetings stop being a separate archive and join the same searchable record as everything happening now.
The stakes here are not abstract. A firm that loses track of what was said two review cycles ago repeats questions clients already answered, or misses a commitment nobody wrote down elsewhere. Keeping the full history reachable in one place is what makes a transition between tools survivable, not a hole in the record.
Best Practices
- Connect Fireflies before retiring it. Set up the integration while its API key is still active so the library stays reachable.
- Search by participant, not just keyword. Pulling every meeting tied to a client email is faster than guessing at a keyword.
- Reprocess open action items. If an old transcript has a task that never got closed out, have Quin turn it into a follow-up now.
- Keep the API key current. If the Fireflies account changes owners, update the connection or search stops returning results.
Setting It Up
The connection takes a few minutes and needs a Fireflies account with an active API key. Connect Fireflies under Settings, then Integrations, by selecting Add Integration, choosing Fireflies, and entering the key to finish the link.
