Finding Old Fathom Meetings After You've Switched to Quin

A wealth advisor ran two years of client calls through Fathom before her firm moved to Quin. Now a compliance request comes in for a call from last spring, and the only place that transcript lives is a Fathom account nobody logs into anymore. She remembers the conversation happened. She just can't put her hands on it without digging up an old login.

What Tends to Get Missed

  • Old commitments disappear. A promise made on a Fathom call from eight months ago never makes it into the CRM once the team stops checking that tool.
  • Compliance requests stall. When someone asks for a record of what was discussed, a person has to remember which tool was in use that month and log in separately.
  • New hires search the wrong place. Anyone who joined after the move to Quin has no idea a Fathom archive exists, so a client's history looks thinner than it is.
  • Follow-up threads go cold. A task mentioned once in a Fathom recap and logged nowhere else quietly falls off, since nobody rereads old Fathom notes regularly.
  • Client context gets rebuilt from scratch. Advisors ask clients to repeat details that are sitting untouched in a transcript from a year ago.

How Quin Handles It

Quin connects to Fathom directly, so transcripts already sitting in that account become searchable from inside Quin instead of staying stranded in a tool the team has stopped opening. Once connected, Quin can pull up a Fathom recording by keyword, date range, organizer, or participant, the same way it searches meetings it recorded itself.

Picture an advisor prepping for a renewal call with a client she hasn't spoken to in ten months. Before the meeting, she asks Quin what came up last time. Quin finds the Fathom transcript from that period, surfaces the notes on the client's college savings goal, and puts together a short summary to review before the call starts. She walks in caught up, without needing to remember which tool recorded that conversation.

That same search reaches into the Notetaker workflow too. Fathom transcripts get run through the same guidelines Quin applies to its own recordings, so a task buried in an old Fathom recap can still get surfaced and acted on now.

The stakes are less about convenience and more about continuity. A firm's meeting history is one of its most valuable records, and it shouldn't become unreachable just because the tool that captured it changed.

Best Practices

  • Connect the integration before you fully retire Fathom. Do it while both tools are still active, so nothing sits in limbo during the switch.
  • Search by participant, not just keyword. If you can't remember what was said, searching by the client's email often narrows things down faster.
  • Ask Quin directly instead of logging into Fathom. A quick question in chat is faster than hunting through an old account you rarely open.
  • Flag anything time-sensitive during the switch. If a task or commitment lived only in a Fathom recap, get it logged in Quin's system before it's forgotten.

Setting It Up

You'll need an active Fathom account and an API key generated from your Fathom settings. Connect Fathom under Settings, then Integrations, enter that API key, and Quin will confirm the connection and make your Fathom transcript library searchable right away.
