Finding Smartsheet Data Mid-Conversation

Midway through a client call, someone asks a pointed question: what's the current status of the site migration task, and how many items on the project sheet are still marked as blocked? Normally that means someone stops the conversation, opens Smartsheet in another tab, hunts for the right sheet among several with similar names, and scans rows manually while the call sits in an awkward pause.

What Tends to Get Missed

  • The search itself breaks the flow of the call. Switching apps mid-conversation to look something up costs more time than the question itself.
  • People forget exact sheet or column names. A sheet named "Q3 Deliverables" instead of "Project Tasks" means extra time just locating the right place to look.
  • Filtering a large sheet by eye is slow and error-prone. Scanning forty rows for everything marked "Blocked" by hand means it's easy to miss one or misread a status.
  • The answer given on the call doesn't match the sheet. Someone answers from memory instead of checking, and the number or status turns out to be wrong later.
  • Follow-up questions get punted instead of answered. A question about who owns a specific task gets "I'll check and get back to you" instead of an answer in the moment.

  • Confirm the exact sheet name up front. This avoids pulling data from the wrong place when several sheets have similar names.
  • Check the column schema on a new sheet early. Knowing what columns exist and what they're called makes every later lookup more reliable.

Setting It Up
