Getting Quin onto a Zoom call that isn't on your calendar

Not every call worth documenting shows up on your calendar first. A prospect sends over a Zoom link twenty minutes before a call their assistant scheduled directly with you over text. A colleague loops you into their meeting at the last minute. Someone reschedules and re-sends a new link instead of updating the original invite. In any of these cases, there's no calendar event for Quin to read, which means the usual trigger for the Notetaker never fires.
The result is a call that happens the same as any other, but doesn't get the same treatment: no recap, no captured action items, no CRM update, because nothing told Quin it was happening.
Situations where a Zoom call skips your calendar
- A link sent directly over text or email, with no calendar invite behind it.
- A rescheduled meeting where a new link replaces the old one, but the calendar event never gets updated.
- Someone else's meeting you're added to at the last minute, hosted from an account Quin doesn't have visibility into.
- A quick call agreed to on the spot, never formally scheduled.
- A meeting joined from a personal Zoom room rather than a scheduled event.
How Quin handles it
Beyond joining from your calendar, Quin can join a Zoom meeting the moment you send it a link directly in chat, or through Meeting Notetaker under Video Call. Either way works the same once Quin is in the meeting: it listens, and when the call ends, it puts together the same summary, action items, and follow-up draft it would for any other call.
Say a client texts you a Zoom link ten minutes before a call arranged the day before over the phone, with nothing on your calendar to show for it. Forwarding that link to Quin, or pasting it into chat, is enough. Quin joins at the time you specify, and the call gets the same recap as anything scheduled a week in advance.
Why this matters
The calls that show up unscheduled are often the ones with the least time built in around them to take good notes yourself, which makes them exactly the calls most likely to get skipped or shortchanged. A prospect who reaches out directly to set something up, instead of going through a formal process, is usually further along and more engaged, which makes the details from that call worth more, not less.
Getting the most out of it
- Keep the manual join option in mind, rather than treating the calendar trigger as the only way in.
- Send the link as soon as you have it, so Quin has time to join before the call starts.
- Use Guidelines to note recurring patterns, like a client who regularly sends links directly instead of calendar invites.
- Check in on recaps from manually joined calls the same way you would any other, since the setup is different but the output should look the same.
Setting it up
Connect Zoom under Settings, then Integrations. From there, paste a meeting link directly into a chat with Quin, or open Meeting Notetaker under Video Call and add the link there, and Quin joins right away, calendar event or not.
