How Gmail and Quin work together on email

A rep working fifty active deals doesn't have fifty different things to say. Most replies are variations on the same handful of situations: following up after a demo, answering a pricing question, nudging a deal that's gone quiet. None of it needs to be written from scratch every time, but writing it well still takes a few minutes each time it comes up, and a few minutes fifty times over is most of a morning.

What a Gmail thread should reflect that a quick reply often doesn't

  • What was discussed on the last call, not a generic recap.
  • Where the deal stands in the CRM, so the reply doesn't contradict what's already logged.
  • What the prospect asked and didn't get a full answer to, easy to miss when replying quickly between other things.
  • The right next step, rather than a vague "let me know if you have questions."

How Quin drafts from Gmail and your CRM

Quin drafts replies directly in Gmail, using the history of past threads with that contact and, where connected, whatever's logged in the CRM. The draft lands in your inbox for review, the same as any email. Nothing sends until you do.

Picture a prospect who asked a pricing question on a call two weeks ago that never got a full follow-up email. A draft built from that history references the actual question and the actual number discussed, instead of restarting the pricing conversation from a blank page.

This matters beyond the time it saves. A prospect who gets a reply that remembers exactly where things left off reads differently than one who gets a reply that could have gone to anyone. On a deal that's being worked by more than one person, or one that goes quiet for a few weeks before picking back up, that continuity is easy to lose and hard to fake once it's gone.

Best practices for getting the most out of it

  • Set guidelines for tone, so drafts sound like the way you'd pitch it yourself, not a generic sales template.
  • Connect your CRM alongside Gmail, so drafts reflect deal stage and details, not just email history.
  • Review drafts closely for the first few weeks, especially for anything deal-critical, until the drafts consistently land right.
  • Flag which deal stages need a closer look before sending, versus routine replies you're comfortable sending with a quick glance.

Setting it up

Connect Gmail under Settings, then Integrations. From there, replies start drafting based on the thread history and CRM context already there, ready for a look before they go out.
