How Quin Knows Which Meetings to Join From Your Zimbra Calendar

A wealth manager books a 2pm client review, a 2:30 prospect call, and a 3pm team check-in, all on the same Zimbra calendar, each with a video link buried in a different invite format. By 2:45 she is still finishing notes from the first call and has missed the opening minutes of the second. Multiply that across a week of back-to-back meetings and the notetaker shows up late, joins the wrong call, or does not show up at all.

What Tends to Get Missed

  • Nested or forwarded invites. When a client forwards a Zimbra invite instead of adding the advisor directly, the meeting link can end up buried in the message body instead of the calendar fields.
  • Recurring series edits. A recurring check-in moved by thirty minutes for one occurrence often keeps the old time cached, so the notetaker joins the original slot.
  • Tentative RSVPs. Marking a meeting tentative while deciding whether to attend can accidentally signal the notetaker should skip it, even after the advisor confirms later.
  • Back-to-back scheduling with no buffer. When reviews are booked wall to wall, a call running long can push the next join time late enough to miss the opening.
  • Personal versus shared calendars. Meetings booked on an individual calendar instead of a shared one can fall outside the notetaker's visibility entirely.

How Quin Handles It

Quin connects directly to the Zimbra calendar and reads the same structured event data the advisor sees, rather than parsing invite text after the fact. Meeting times, attendee lists, and video links come from the calendar record itself, and any update to that record is reflected the moment it happens.

Picture an advisor whose 10am client call gets pushed to 10:30 because the client is stuck in traffic. The client's assistant updates the Zimbra invite five minutes before the original start time. Quin picks up the change from the calendar and adjusts its join time, arriving at 10:30 ready to take notes instead of sitting in an empty room or missing the call altogether.

Because Quin treats the calendar as the source of truth, it can tell the difference between a meeting that is genuinely cancelled and one that has simply moved, a distinction that matters when a single missed join means a client review goes unrecorded.

Best Practices

  • Keep meetings on the calendar Quin is connected to. Book client and prospect calls on the Zimbra calendar tied to the integration rather than a personal calendar.
  • Update the original invite rather than sending a new one. Editing the existing event preserves the meeting history, while a fresh invite for a rescheduled call can create a duplicate that confuses which one to join.
  • Confirm RSVPs promptly. Accepting or declining invites in a timely way gives Quin an accurate signal about which meetings are actually happening.
  • Build in buffer time between calls. Even a five minute gap gives Quin room to close out one call and join the next without missing the opening minutes.

Setting It Up

Connecting Zimbra takes just a few minutes. Enter the server address along with the account email and password, complete two factor verification if enabled, and confirm the connection. Once linked, Quin reads the calendar in real time and picks up new meetings, changes, and cancellations. The whole process happens under Settings, then Integrations.
