How to search Gmail without opening Gmail

A prospect asks mid-call what number was quoted last time, or whether a specific feature came up in an earlier conversation. The answer is somewhere in Gmail, if you can remember roughly when it was sent and which of several similar-sounding threads it's buried in. Finding it while a prospect is still on the line rarely goes quickly.

Why an old email thread is hard to find when it matters most

  • Gmail search works on exact words, and a rushed memory of a conversation rarely produces the right ones.
  • Deals with the same company can span several separate threads, and the detail you need might be in any one of them.
  • A number or detail mentioned once, in passing, is easy to lose among everything sent since.
  • The person searching isn't always the person who sent the original email, especially on a team working the same account.

  • Use this during live calls, not just after them. The value is clearest when you need an answer immediately, not when you're looking it up after the fact.
  • Keep using it early in a deal, rather than only reaching for it once a thread has already gotten long and hard to track by hand.

Setting it up

Connect Gmail under Settings, then Integrations. From there, any past conversation becomes something you can ask about directly, instead of something you have to remember how to find.
