Keeping a Clio Matter Current After Every Client Call
August 6, 2026
A matter open for eight months has a dozen calls behind it, but the notes in Clio thin out after the first few weeks. Early on, every detail felt worth writing down. Six months in, once the matter feels routine, a fifteen-minute call gets logged as "spoke with client, discussed status" or doesn't get logged at all. When another attorney needs to step in, the file doesn't reflect what happened.
What Tends to Get Missed
- Detail drops off as familiarity with a matter grows. The tenth call on a matter gets a thinner note than the first one, even when just as much was discussed.
- Short calls get treated as not worth logging. A quick five-minute update call often carries a real status change that never makes it into the file.
- Status updates given verbally never reach Clio. A client is told where things stand on the phone, but that update exists only in the conversation, not the matter record.
- Notes describe that a call happened without describing what was said. "Spoke with client" tells the next person that a conversation took place and nothing else.
How Quin Handles It
Quin's Notetaker joins every call the same way, regardless of length or how far into the matter's life it falls. A five-minute status check gets a note the same as a full consultation, added to the matter along with a record of the communication itself.
Picture a matter mid-litigation, months past the initial filing. A quick call comes in from opposing counsel's office with a scheduling update, five minutes, nothing dramatic. That's the kind of call that tends to go unlogged once a matter feels familiar. Quin logs it the way it would log the first intake call, with the specific update captured rather than a general note.
A guideline can set the level of detail expected across a matter's life, so notes from month eight read with the same specificity as notes from week one. That consistency makes a file useful to someone besides the attorney living in it every day.
The real value shows up the day the file has to speak for itself, a client asking about something raised months back, or a colleague covering while you're out. A file that stayed current answers those moments; one that thinned out in the middle does not.
Best Practices
- Set a guideline for the level of detail you want in matter notes, and apply it regardless of call length. Consistency matters more than length.
- Standardize note format across attorneys who share matters. A note that follows the same structure every time is easier for a colleague to pick up mid-matter.
- Periodically check notes from matters that have been open a long time. It's an easy way to catch detail drifting thin before it becomes a habit.
- Treat short calls the same as long ones when it comes to logging. A five-minute update can carry a status change that matters just as much as anything from a longer meeting.
Setting It Up
Connect Clio under Settings, then Integrations, and sign in to authorize access to Clio Manage. Turn on the Notetaker under Settings, then Workflows, and set a guideline for the level of detail you want captured, so a call in month eight gets the same treatment as the first one did.
