Keeping Contact Records Current From GoTo Connect Call Activity

An account manager takes a 20-minute GoTo Connect call with a longtime client about renewing a contract, hangs up satisfied that the conversation went well, and moves on. Two weeks later a teammate pulls up the account in the CRM to prep for a check-in and finds no record the call ever happened: no notes, no date, nothing.

What Tends to Get Missed

  • The call itself never gets logged. Unless someone manually opens the CRM and adds an activity, there's no record a conversation took place at all.
  • Notes stay in someone's head, not the record. Even when a call goes well, the details discussed rarely make it past the person who took the call.
  • Teammates lose visibility into the account. Anyone else who touches the same client has no way to know what was covered on the last call.
  • Renewal and follow-up dates go untracked. A verbal agreement to check back in a month has nowhere to live once the call ends.
  • History gets thinner over time. Without a habit of logging every call, the record of a long relationship ends up full of gaps.

How Quin Handles It

When a GoTo Connect call ends, Quin processes the recording and matches it to the right contact, then adds the call notes, key points, and any next steps to that contact's record in the CRM. The update happens close to when the call actually happened, not whenever someone gets around to entering it by hand.

Picture an account manager who handles thirty active accounts and takes calls throughout the week with clients at different stages of their relationship. Instead of setting aside an hour on Friday to reconstruct what happened on each call, she works through her week as usual and finds the CRM already reflects the renewal conversation from Tuesday, the pricing question from Wednesday, and the check-in from Thursday.

A CRM is only useful if it reflects what's actually happening with an account. When call activity makes it into the record consistently, anyone on the team can pick up a client relationship without having to ask what happened on the last call, and the history holds up even as the people managing the account change.

Best Practices

  • Confirm the contact match on unfamiliar numbers. Calls from a new number or an unsaved contact may need a manual link the first time before Quin can match them automatically going forward.
  • Review CRM updates during busy weeks. A quick glance keeps the record accurate even on days with a high volume of calls.
  • Log new contacts before calling them. A call to a number that isn't in the CRM yet won't have anywhere to attach, so add the contact first when possible.
  • Use the record to prep, not just to report. Pull up the last logged call before dialing again so the conversation picks up where it left off.

Setting It Up

This runs through the same connection that powers call notes and follow-ups, so there's nothing extra to configure once GoTo Connect is linked. Connect GoTo Connect under Settings, then Integrations, sign in with your GoTo Connect credentials, and approve access. Once the integration is active, call activity will start showing up on the right contact records automatically.
