Keeping Your Lawmatics Pipeline Current After Every Call

A managing partner opens the firm's Lawmatics pipeline Monday morning and finds eleven leads still sitting in "Consult Scheduled," though half had their consultations last week. A few signed retainers. A couple decided not to move forward. One is still deciding. The pipeline does not know the difference, so every number built on top of it, conversion rate, cost per lead, which associate is closing well, is wrong until someone fixes it matter by matter.

What Tends to Get Missed

  • The stage change itself. Attorneys focus on the substance of a call, and updating the pipeline afterward is the kind of admin that gets pushed to "later" and then forgotten.
  • Leads that quietly go cold. When a prospect says they are going with another firm, it is easier to leave them where they are than to mark the lead lost, so the pipeline overstates how many people are actually still deciding.
  • The moment a lead becomes a client. Signing a retainer should move a record out of intake immediately, but that update often lags days behind the actual signature.
  • The reason behind a stage change. Without a note attached, nobody remembers months later why a lead was marked lost, and that reason is exactly what marketing needs to improve the next round of intake.
  • Several leads moving the same day. With four consultations on one calendar, updating each record one by one is the first thing to slip when the day gets busy.

How Quin Handles It

Quin listens to the outcome of each consultation and can create and update matters as cases and prospects move forward, rather than waiting for someone to circle back to Lawmatics after the fact.

Picture a Monday with four consults on the calendar. One prospect signs the retainer on the spot, one needs to think it over, one has hired a different firm, and the fourth wants a second meeting with the senior partner. By the time the last call ends, Quin has updated all four records: the retained client moves off intake and onto her matter, the undecided lead stays in place with a note on where things left off, the lost lead is marked accordingly, and the fourth shows a follow-up meeting tied to their record.

The value here is that the pipeline becomes something the firm can trust. Marketing spend, staffing decisions, and a partner's sense of how the practice is growing rest on those stage numbers, and a pipeline full of stale "Consult Scheduled" leads makes a struggling intake process look fine, or a healthy one look stalled.

Best Practices

  • State the outcome plainly at the end of the call. A clear line, retained, thinking it over, or going elsewhere, gives Quin a definite result to log.
  • Set a Guideline for what counts as "Retained." Tying the stage change to a specific event, like a signed retainer, keeps the pipeline consistent across attorneys.
  • Note the reason when a lead goes cold. That detail is what turns a lost lead into something marketing can learn from later.
  • Check the pipeline against real outcomes weekly. A short review catches anything that did not update the way it should have.

Setting It Up

Connect Lawmatics under Settings, then Integrations, then set a Guideline for how consultation outcomes should move leads through your pipeline.
