Logging Call Notes to the Right Insightly Contact and Opportunity

A financial advisor wraps up a call with a prospect about consolidating three old 401(k)s into a rollover IRA. Notes about account numbers and a target closing date sit in a notebook, and by the time anyone enters them into Insightly the call happened two days ago and details are already fuzzy. Worse, the prospect has a Contact record from an old inquiry and a separate Lead record from a webinar signup, and nobody is sure which one the notes belong on.

What Tends to Get Missed

  • The call notes never make it past a notebook. Details about a rollover account or a target date sit in personal notes until someone remembers to log them.
  • Duplicate records absorb half the story. A prospect who filled out a web form and also called in ends up with two Contact records, and the update lands on the wrong one.
  • Notes get attached to the Contact but not the Opportunity. A note logged only on the Contact page does not show up when someone opens the Opportunity.
  • Organization level context disappears. A note from a call with one employee rarely gets connected back to that company's Organization record.
  • Old notes get lost in a long activity feed. Months of scattered notes make it hard to find the detail that mattered.

How Quin Handles It

Quin joins the call, listens, and matches what was said to Insightly once it ends, identifying the contact by name and email the way a person would search Insightly, checking whether they have an open Opportunity, and logging the note on both.

Picture a call where a small business owner mentions they have finally decided on a vendor and want a services agreement signed by month's end. Quin logs a note on their Contact record, adds the same detail to the open Opportunity tied to that account, and flags the target date so it is visible next time anyone opens that record.

When a prospect exists as both a Lead and a Contact, or a call happens with someone at a company that already has an Organization record, Quin uses the name, email, and company details to find the closest match instead of creating a new record.

The stakes are not abstract. A missed detail on a rollover account is a compliance gap or a lost deal, not just an inconvenience, and a CRM only as current as someone's last free evening is not one anyone can trust.

Best Practices

  • Clean up duplicate records before connecting Insightly. Quin matches against what is already there, so multiple versions of the same contact make matching harder.
  • Fill in email addresses on Contact and Lead records. Name matching alone can miss people with common names.
  • Decide which fields Quin should update versus flag for review. Some teams want notes logged straight to the record, others want a person to confirm first.
  • Check the Organization record after a first call with a new contact. Catching a mismatch early saves a bigger cleanup later.

Setting It Up

Connect Insightly under Settings, then Integrations, sign in with your Insightly account, and confirm the permissions Quin needs to read and write Contact, Organization, and Opportunity records. From there, mentioning a contact by name on a call is enough for Quin to find their record and log against it.
