Logging Meeting Notes to the Right Dex Contact, Every Time
August 6, 2026
You hop off a call with a client you haven't spoken to in months. He mentioned his daughter just started college and that his neighbor might be a good referral. By the time you're back with three more calls stacked up, none of that makes it into Dex, and two months later you're starting from zero.
What Tends to Get Missed
- The context behind a name. A client mentions a business partner or referral source in passing, and it never makes it past the conversation because writing it down mid call means looking away from them.
- Which record a note belongs to. If two contacts share a first name, a note typed up later can land on the wrong profile.
- Small personal details that matter later. A daughter starting college or a knee surgery make a follow-up call feel personal, and they're the easiest to lose.
- The connection between two calls. A quick check-in and a longer call about the same person often get logged separately, breaking up one history.
- Notes from calls outside your calendar. A hallway conversation or a cell phone call rarely makes it into any system, even though it's often where useful information turns up.
How Quin Handles It
Quin joins calls already on your calendar and listens for the names, commitments, and details that come up naturally. When it recognizes a contact, it matches that person to their Dex record and attaches the meeting summary and follow-up items to their timeline, so the note lands on the same profile every time instead of depending on you to type it in later.
Picture a call that drifts from a portfolio review into a client's son's wedding and a referral for a divorce attorney a friend needs. None of that fits a meeting agenda, but Quin logs it to her Dex record along with the call notes, so both threads are there the next time that referral comes up.
Because matching happens by name and context rather than which button you remember to click, a call that runs long or wanders off topic still ends up recorded correctly. That matters most for the calls you didn't plan for, the ones where a client reveals the kind of detail that makes your next conversation feel like you remember them.
Best Practices
- Use full names on calls when you can. Saying "Sarah Kim" instead of just "Sarah" gives Quin a better chance of matching the right record.
- Check new matches after your first few calls. Review how the first notes landed in Dex so you can catch mismatches before they become a pattern.
- Keep Dex records current with unique identifiers. Adding an email or company name gives Quin more to match against than a first name alone.
- Review the note before it's final. A quick scan after the call catches anything landed on the wrong profile before it becomes permanent.
Setting It Up
Connecting Dex takes a few minutes: sign into your Dex account, grant Quin permission to read and update your contacts, and confirm the connection shows as active. From there, Quin starts matching contacts from your calls on its own, though it's worth reviewing the first few logged notes to make sure names are matching correctly. You can find and manage the connection under Settings, then Integrations.
