One Searchable Meeting History While Your Team Splits Between Fireflies and Quin
August 6, 2026
A sales manager needs to find a call with a specific prospect from two weeks ago, but half the team has moved over to Quin while the other half is still finishing out the quarter on Fireflies. She does not know which rep ran that call or which tool captured it, so she checks two places before she even knows where to start.
What Tends to Get Missed
- Nobody agrees on where to look first. A manager checking a client relationship has to guess whether the history lives in Fireflies, Quin, or both.
- New hires learn the wrong habit. Someone joining mid-transition may never learn to check the older tool, and misses context that only exists there.
- The same client shows up in two records. One meeting lives in Fireflies, the next in Quin, and neither system shows the full picture on its own.
- Oversight gets harder during turnover. If a rep leaves mid-transition, whoever inherits their accounts sorts through two tools to reconstruct what happened.
- Reporting takes longer than it should. Pulling a count of touchpoints for the quarter means combining numbers from two places by hand.
How Quin Handles It
Quin connects to Fireflies through a read-only integration, and once connected, that transcript library becomes searchable right alongside Quin's own meeting notes. A search by participant, organizer, keyword, or date range pulls results from Fireflies the same way Quin surfaces its own meetings, so a manager does not need to know in advance which tool ran a given call.
Picture that sales manager asking Quin directly for every meeting tied to the prospect she is tracking down. Quin checks its own Notetaker history and, because Fireflies is connected, searches that library too by the prospect's email. It returns the right meeting, regardless of which rep ran it or which tool was recording that week, without her opening Fireflies herself.
This matters most as a bridge, not a permanent setup. While the team is split across both tools, the connection keeps meeting history reachable from one place, so switching over does not mean losing track of what happened before a rep made the move.
The bigger risk during any tool transition is a gap where nobody quite knows what was said or promised. A single place to search, even while two systems are in use, closes that gap and keeps the team accountable to what happened on every call.
Best Practices
- Connect Fireflies account-wide early. Set up the integration before the whole team has migrated so history stays reachable the entire time.
- Standardize on participant email for searches. It is the most reliable way to pull up a client regardless of which tool ran the call.
- Treat the connection as temporary scaffolding. Plan for a point where the whole team is on Quin and Fireflies is no longer needed.
- Audit reachability partway through the rollout. Spot check that older meetings from reps who already switched are still searchable.
Setting It Up
Setup takes a Fireflies account with an active API key. Connect Fireflies under Settings, then Integrations, by choosing Add Integration, selecting Fireflies, and entering the key.
