How Redtail and Quin make old conversations searchable

A client calls asking about something discussed at a review two years ago, a specific fund, a decision made, a promise to follow up on something. Finding the answer means going back through years of Redtail notes, hoping the right one used the right words, and hoping whoever wrote it thought to include the detail being asked about now.
Why old notes are hard to use even when they exist
- Notes accumulate over years, and searching by keyword only works if the original note happened to use that exact word.

When you ask Quin about a client, it can pull from Redtail and from the full history of past meetings, not just whatever made it into a note field. That means a detail mentioned in passing during a call, even one an advisor never typed into Redtail word for word, is still something Quin can find, because it has the underlying conversation to draw from.
Picture a client asking whether you discussed rolling over an old 401k during last year's review. Instead of scanning three years of review notes hoping one mentions it, you ask directly and get an answer, with the context of when it came up and what was said.
Best practices for making old conversations easy to find
- Decide whether you want Quin to keep full transcripts, not just recaps. A transcript gives Quin more to search through later, at the cost of more storage.
- Ask specific questions when searching, the same way you'd ask a colleague who was in the room for that meeting.
- Start relying on this early in a client relationship, rather than only after a few years of notes have piled up. The earlier searchable history starts, the more useful it becomes later.
- If your team shares a book of business, keep note-taking consistent across advisors. Quin can search across everyone's meetings, not just your own, but only if advisors structure their notes the same way.
Setting it up
Connect Redtail under Settings, then Integrations, and decide during setup whether Quin should keep full meeting transcripts or just recaps. Either way, once a conversation has happened, it's something you can ask about later instead of something you have to remember.
