Skipping the Second Notetaker on Calls Fireflies Already Covers

A client joins a video call and sees two bots waiting in the lobby: Fireflies Notetaker and Quin Notetaker. The advisor has to explain why two separate AI assistants showed up to record the same conversation, or scramble to remove one before the meeting starts. That moment costs more attention than it should.
What Tends to Get Missed
- Clients notice the pile-up. Two notetaking bots asking to join at once reads as disorganized, especially on a first call with a new client.
- Consent gets murkier. Getting comfort with one recording tool is manageable, explaining two on the same call is a harder conversation.
- Two transcripts of one meeting pile up. Nobody wants to reconcile two separate recordings to figure out which one to trust.
- It is not clear which tool is the source of truth. If both ran, the team decides after the fact which transcript feeds the CRM update.
- Meeting prep gets skipped. When advisors are not sure which bot is joining, some stop inviting either one and lose the notes entirely.
How Quin Handles It
Because Quin's Fireflies connection is read-only and works after the fact, Quin does not need to be in the call to have the transcript. It can pull it later by searching keyword, date, organizer, or participant, or by retrieving it directly with the transcript ID. A meeting only needs one bot in the room.
Picture a partner firm that always runs Fireflies on shared calls with prospects. Rather than also inviting Quin to join live, the advisor lets Fireflies handle the meeting as usual. After the call ends, they ask Quin to pull up that meeting by the prospect's email. Quin retrieves the transcript, applies the same guidelines it uses for any other meeting, and produces a summary, tasks, and a follow-up draft, without a second bot appearing on the call.
This works the other way too. On meetings where Quin joins live, there is no reason to also run Fireflies, since Quin is already producing the recap and the CRM update on its own.
None of this is about which tool is better on a given call. It is about a client seeing one assistant show up, and a team not sorting out afterward which transcript counts. One recorder per meeting keeps the client experience simple.
Best Practices
- Decide per meeting type which tool joins live. If a calendar already runs on Fireflies, let it stay there and pull from it after the fact.
- Adjust Quin's meeting filters. Use the "only meetings I'm the host" setting so Quin does not auto-join calls Fireflies already covers.
- Retrieve the transcript the same day. Follow-ups and CRM updates matter most shortly after the call, so do not let one sit for a week.
- Tell the team which tool owns which calls. A quick rule, like which calendar defaults to Fireflies versus Quin, keeps everyone from guessing.
Setting It Up
The connection is read-only, so there is nothing to configure on the Fireflies side beyond generating an API key. Connect Fireflies under Settings, then Integrations, by adding the integration, selecting Fireflies, and entering the key.
