Turning Call Commitments Into AgencyZoom Follow-Up Tasks

An agent tells a client on a call that a revised auto quote will be in their inbox by Friday, promises to follow up with underwriting on a home inspection contingency, and agrees to check back in six months once a new policy is in place. All three commitments happen inside one call, and none get written down before the next call starts. By the end of the day, the agent is relying on memory to know what was promised, to whom, and by when.

What Tends to Get Missed

  • The deadline attached to a promise. "By Friday" and "sometime this week" get treated the same once the day is over and the note is written from memory.
  • Who owns the next step. Following up with underwriting is different from calling the client back, and mixing the two up leaves a task with no clear owner.
  • Commitments made near the end of a call. The last two minutes, when a client mentions one more thing, is where follow-ups most often get dropped.
  • Conditional follow-ups. "Call me back if the inspection comes back clean" is easy to forget precisely because it depends on something happening later.

Best Practices

  • Be specific in Guidelines about what counts as a commitment. Naming phrases like "I'll check" or "let me get back to you" helps Quin catch them consistently.
  • Review tasks the same day they're created. A quick scan catches anything that needs a deadline added before it sits untouched.
  • Use task due dates that match what was promised. A vague timeframe like "this week" should become a specific date.
  • Ask Quin what's still open on a client before a call. Checking outstanding tasks ahead of a follow-up means walking in already knowing what was promised.
