Turning What Clients Tell You Into Notes Dex Actually Remembers

A client asks how your dog is doing, by name, and you have no idea what her husband does for work or that she mentioned switching careers on your last call. You remember a good conversation four months ago, but the specifics are gone, and pretending to remember is worse than admitting you forgot.

What Tends to Get Missed

  • Life updates dropped mid-sentence. A new job or a kid heading off to school come up between the business items on a call and rarely get written down.
  • The follow-up question you meant to ask. You plan to ask about a job interview next time, and by next time the memory is gone too.
  • Names of the people in their life. A spouse or business partner, remembering these names signals you were listening the first time.
  • Preferences that shape how you talk to them. Whether someone prefers email over calls shapes a conversation more than any agenda item.
  • The thread connecting one conversation to the next. Without a record, every call starts a little from scratch instead of picking up where the last one left off.

How Quin Handles It

Quin listens for more than the business items on a call. When a contact mentions a new job, a move, a health scare, or a kid heading off to school, Quin treats that as worth capturing and adds it to their Dex record as a note tied to the date it came up, rather than leaving it buried inside a transcript you would have to search through later.

Picture a check-in call where a client mentions, almost as an aside, that her father was just diagnosed with an early-stage illness and she's starting to think about long-term care costs. That single sentence might get lost in a fifteen minute call about quarterly statements, but it's the kind of detail that should shape how you talk to her next time. Quin pulls it out and logs it to her Dex record, so the next conversation starts from where this one left off.

The value shows up weeks later, when you open her contact before a call and see not just what you discussed last time, but what she's actually dealing with. That's the difference between a client feeling like a name on a calendar and a client feeling like someone who's being paid attention to.

Best Practices

  • Say details out loud instead of just noting them mentally. Repeating a detail back in conversation helps Quin catch it clearly.
  • Ask Quin what a contact mentioned last time. A quick recap before you dial in can surface a detail worth bringing up.
  • Correct notes that land in the wrong spot. If a detail gets attached to the wrong contact, fix it in Dex so future matching stays accurate.
  • Give calls room to be conversational. The details that matter most come up when a call isn't rushed straight through an agenda.

Setting It Up

Setup takes just a few steps: connect your Dex account, approve the permissions Quin needs to read and write notes, and confirm the integration is active. Once connected, Quin starts logging personal details from your calls to the matching contact without extra work beyond having the conversation itself. You can manage the connection any time under Settings, then Integrations.
