How Wealthbox records stay current with Quin connected

A client review covers a lot of ground in forty-five minutes: a question about their portfolio, a comment about a job change, a preference they mention once and expect you to remember later. Catching all of it while running the meeting is hard, and the Wealthbox entry written up afterward usually reflects what was memorable, not everything that was said.

What belongs in a Wealthbox record, and what tends to get left out

  • Specific numbers. Contribution amounts, account values, a fund or ticker mentioned by name.
  • Changes in circumstance. A new job, a marriage, a health change, anything that shifts the plan.
  • Preferences stated once. A communication preference, a risk comfort level, a goal that shifted.
  • Concerns raised. A hesitation, a question that didn't get a full answer in the room.
  • Next steps agreed to. What happens before the next conversation, and who owns it.

How Quin and Wealthbox work together

Quin's Notetaker sits in on a client meeting, whether it's a video call, a phone call, or an in-person conversation, and listens the way an assistant in the room would. The moment the meeting ends, Quin adds the update to Wealthbox: what was discussed, any account specifics that came up, and the next step, if one was agreed to.

A follow-up email, if you use one, works differently. That drafts into your inbox for you to review and send, since it's going to the client. The Wealthbox update itself is just Quin keeping the file current, so it isn't held to that same review step.

A Wealthbox record that only says "good meeting, client is on track" doesn't help much later. It doesn't tell a colleague what was promised, and it doesn't remind you what mattered to that household the last time you spoke. A record with real detail does both.

Picture a mid-year check-in where a client mentions, almost as an aside, that they're thinking about early retirement. That's exactly the kind of detail that's easy to lose in a quick note but valuable to have on file before the next conversation.

Getting the most out of it

  • Set the level of detail you want in the Notetaker's guidelines, so Quin knows what matters to your process, whether that's specific figures, life events, or both.
  • Review the first several updates closely. It's the fastest way to tell whether the format matches how your practice writes notes.
  • Standardize the format across a team, if more than one advisor touches the same households.
  • Revisit the guidelines periodically, since what mattered at the start of the year may not match how your process runs now.

Setting it up

Connect Wealthbox under Settings, then Integrations, and turn on the Notetaker for the meetings where client conversations happen. From there, every conversation adds to the record the moment the call ends.
